This device has been supplied to you in accordance with the Company’s IT & Communication Systems Policy which is detailed below and we ask that all staff who have a laptop to familiarise themselves with this policy:

  1. You are solely responsible for the laptop whilst it is in your possession.
  2. You may be responsible for the payment of any insurance excess if your laptop is damaged or lost.
  3. If your laptop is lost or stolen, you must report this as soon as possible to Paul Beckett (or a member of his team). If your laptop is stolen, you will also be required to report the matter to the Police and obtain a crime reference number. You will receive another laptop as soon as it is practically possible.
  4. Please report all instances of damage to Paul Beckett or a member of his team as soon as possible in order that a repair can be arranged. You will receive another device as soon as it is practically possible.
  5. As with all Company devices, laptops must not be used to access or forward indecent / inappropriate content.
  6. You may not install and/or download unauthorised software and/or application on your laptops.
  7. Your laptop is not to be used by an unknown or unauthorised person.
  8. Whilst you can use all of the features on your laptop, if you are storing photographs or any other types of media on the laptop, it is your responsibility to back these up. Similarly if you are storing contacts on the laptop and not in your Microsoft Exchange account, it is your responsibility to back these up also.
  9. You must ensure your laptop is kept secure at all times, especially when outside the office.
  10. Passwords must be used at all times to ensure confidential data is protected in the event of loss or theft. Your passwords should be kept secure and should not be divulged to anyone.
  11. Other than HM3 Legal IT or Urban IT, you should not allow anybody to remote access your laptop. This includes anybody from your own internet service provider. Allowing an unauthorized person access to your laptop can cause a serious data breach.
  12. HM3 Legal reserves the right to amend this policy and / or remove the usage of Company laptops at any time.
